Terms and Conditions

The 8th Global Botanic Gardens Congress ("Congress") is jointly organised by National Parks Board ("NParks") and Botanic Gardens Conservation International ("BGCI"), collectively referred to as the "Event Organiser". Pico Art International Pte Ltd has been appointed by the Event Organiser to assist with the administration and registration of the Congress.

General

  • By registering for the Congress, you agree to and accept the terms and conditions set out herein.
  • The Event Organiser reserves the right to modify these terms and conditions without prior notice. Information contained herein is correct as of 2 January 2024.
  • All rates herein are in Singapore Dollars (SGD), and exclude the Goods and Services Tax (GST) of 9%, unless otherwise stated.
  • A confirmation of registration will be sent via email within three (3) working days upon the receipt of registration and payment.
  • Confirmation of registration is subject to availability at the time of booking. Seats are limited and are sold on a first-come, first-served basis.

Congress Schedule

  • The Event Organiser reserves the right to make changes to the Congress content, programme, speakers and optional tours whenever necessary at its sole discretion.

Registration / Payment

  • All registration rates are subject to change by the Event Organiser without prior notice and at its sole discretion.
  • Registration for the Congress will only be confirmed upon receipt of the full registration fees.
  • To qualify for the early bird rates, registration and payment must be received before the deadline stated in the Congress marketing materials.
  • Delegates who have registered under a "Student" category will need to produce a valid student ID during on-site registration for verification by the Event Organiser.
  • If a student ID is not valid or not presented for verification, the delegate will be required to top up the difference in rate and be registered under the "BGCI Member" or "Non-BGCI Member" category, where applicable.
  • Registrations received in which full payment has not been made, will be held for up to fourteen (14) days from the date of booking or until the first day of Congress (i.e. 6 August 2024), whichever is earlier, after which if full payment has not been received, the registration will be deemed void. For avoidance of doubt, confirmation of registration is subject to receipt of payment and availability of seats.
  • Payment can be made either by credit card or telegraphic /bank transfer.
  • For payment by credit card, the merchant reflected on the credit card statement will be 'Pico Art International Pte Ltd'.
  • Any costs or charges incurred due to the preferred payment method selected, such as bank charges and administrative charges, are to be borne entirely by the registrant.

Substitutions / Withdrawals / Cancellations / No Show

  • All requests for substitutions of delegates and withdrawals must be received in writing by the Event Organiser before 6 July 2024 23:59 hours (GMT+8).
  • Any substitution of delegates is subject to the approval of the Event Organiser. Any costs or charges related to the substitution are to be borne entirely by the registrant.
  • If the registration is withdrawn, the following refund will apply upon receipt of notification of withdrawal:

    100% refund less a processing fee of $50
    On or before 6 May 2024
    23:59 hours (GMT+8)
    75% refund less a processing fee of $50
    On or before 6 June 2024
    23:59 hours (GMT+8)
    50% refund less a processing fee of $50
    On or before 6 July 2024
    23:59 hours (GMT+8)
    25% refund less a processing fee of $50
    After 6 July 2023
    23:59 hours (GMT+8)
    No refund
  • Any additional bank and/or PayPal transfer costs or charges related to the withdrawal of registration are to be borne entirely by the registrant.
  • Strictly no refund of the Congress fee will be entertained for 'No Show' of the delegate.
  • The Event Organiser reserves the right to cease registration before the closing date once maximum capacity has been reached. In such event, the Event Organiser will contact unsuccessful registrants to arrange for a refund of any registration fees that may have been paid.
  • In the unlikely event that there is a need to cancel the Congress, the Event Organiser will provide a refund of the registration fees that have been paid. The Event Organiser will not be liable for any costs incurred by the registrant arising from travel arrangements, insurances purchased, accommodation, airline and airport transfers made in connection with the Congress, or any payment variations due to changes in currency exchange rates.

Optional Tours

  • The delegate shall assume all risks in respect of loss, injury or damage that may occur whilst participating in any optional tour activities held in conjunction with the Congress. The Event Organiser and their appointed agents are not responsible for any loss of or damage to property or injury to person during the course of the optional tour activities, to the extent not prohibited by law.
  • A good level of fitness and health is required to participate in the optional tour activities, and it is the delegate's responsibility to advise the Event Organiser in advance in writing of any pre-existing medical conditions that may affect his/her participation in the activities to determine its suitability.
  • Should the delegate have any special needs that may impact his/her participation, the Event Organiser must be informed in advance in writing, to ensure the suitability of the activities. Whilst all reasonable measures will be undertaken by the Event Organiser to facilitate participation in the optional tour activities, such measures are not guaranteed and will be subject to consideration.

Photography / Videography

  • By participating in the Congress and tours (if opted), the delegate consents to photography, audio recording, video recording and its/their release, publication, exhibition, or reproduction to be used for news, web casts, promotional purposes, telecasts, advertising, inclusion on websites, social media, or any other purpose(s) that the Event Organiser and its affiliates and representatives deem fit to use.
  • Photographs, video and audio recording may be used for promotional and marketing purposes by the Event Organiser. The delegate releases the Event Organiser, its officers, and employees, and each and all persons involved from any liability connected with the taking, recording, digitising, or publication and use of photographs, computer images, video and/or audio recordings.
  • The delegate waives all rights to any claims for payment of royalties in connection with any use, exhibition, streaming, webcasting, televising, or other publication of these materials, regardless of the purpose or sponsoring of such use, exhibiting, broadcasting, webcasting, or other publication irrespective of whether a fee for admission or sponsorship is charged. The delegate also waives any right to inspect or approve any photograph, video, or audio recording taken by the Event Organiser or the person or entity designated to do so by the Event Organiser.
